Front Desk Coordinator (Part-Time)
Independent Contractor Therapist (1099)
Cape Fear Psychological Services is seeking a warm, dependable, and highly organized Front Desk Coordinator to join our client-focused team. This role is essential to creating a calm, welcoming environment for our clients and supporting our providers in delivering exceptional mental health care.

We are a dedicated mental health practice committed to providing compassionate, evidence-based psychological services to individuals and families in our community. Our front office team plays a crucial role in ensuring each client feels supported from the moment they walk through our doors.

Key Responsibilities
-
Client Experience & Communication: Welcome clients, manage check-in, notify providers of arrivals, and respond promptly to all incoming calls, voicemails, emails, texts, and faxes.

Practice Administration: Process referrals, review intake forms, verify insurance, schedule appointments, collect payments, maintain/archive client records, and perform general administrative tasks (filing, scanning, copying).

Provider Support: Support provider documentation needs, including dictation, transcription edits, diagnosis coding, and questionnaire follow-up.

HIPAA Compliance: Ensure all client information and records are handled in strict compliance with HIPAA standards.

Office Maintenance: Keep waiting areas and shared spaces tidy, organized, and stocked; manage office supply inventory.

Facility Upkeep: Assist with light facility upkeep as needed, such as sweeping outdoor areas or clearing leaves from the parking lot.
Required Qualifications

Previous administrative experience (healthcare or mental health settings preferred).

Strong organizational skills with sharp attention to detail.

Ability to prioritize and multitask effectively in a dynamic environment.

Proficiency with Microsoft Office and digital office/EHR systems.

Strong communication skills and high professional discretion with sensitive information.

Physical ability to occasionally lift up to 20 lbs and perform light facility upkeep.

Qualifications
We're looking for clinicians who are:

Licensed or provisionally licensed in North Carolina as a PhD/PsyD, LCSW, LMFT, LCMHC, or LPA

Experienced in providing high-quality, ethical clinical care (one or more years of post-licensure experience preferred)

Compassionate, professional, and self-motivated

Committed to client-centered, evidence-based treatment

Interested in practicing with both autonomy and the support of a collaborative team
